Privacy policy

This policy explains which personal data we collect when you visit pricehuddle.com or use the PriceHuddle app, why we collect it, and what your rights are. PriceHuddle is provided by SimpleSpares B.V., Sneliusweg 12, 6827 DH Arnhem, the Netherlands (“we”, “us”). We are responsible for the personal data described here, and we follow the General Data Protection Regulation (GDPR).
1. This website
- Analytics, only if you agree. This website loads Google Tag Manager, a Google service that loads our analytics. Loading it sets no cookies, but like any request it sends your IP address and browser details to Google. If you accept in the cookie banner, we use Google Analytics to see how visitors find and use this website, such as which pages are visited and where visitors come from. Google Analytics then sets cookies (named _ga). Google may process this data outside the European Economic Area. We have turned off advertising features, so the data is not used for ads. If you decline, Google Analytics sets no cookies. You can change your choice at any time with “Cookie settings” at the bottom of every page.
- No other trackers. This website has no advertising or social media trackers, and loads no fonts or other scripts from other companies besides Google’s.
- Functional cookies only. We set a session cookie and a security cookie that protects forms against misuse. They are needed for the site to work, contain no personal profile, and expire after two hours. Because they are strictly necessary, we don’t ask for consent for them.
- Server logs. Like every web server, ours briefly records your IP address, browser type and the pages requested, to keep the site secure and fix errors. We keep these logs for at most 14 days.
2. The PriceHuddle app
When your company uses PriceHuddle, we process:
- Account data: your name, work email address, company name and password (stored only in encrypted, hashed form), and your role in the team.
- Billing data: company details, VAT number and invoices. Payments are handled by Stripe; we never see or store your full card or bank details.
- Usage data: when you sign in and which imports and analyses are run, so we can show your history, send notifications and keep the service secure.
- Emails with us: what you write to us for support, and our answers.
Price lists, orders and analyses are business data, not personal data. If they happen to contain personal data, such as a supplier’s contact person, we process it only on your company’s behalf and under its instructions, as its processor. A data processing agreement is available on request.
3. Why we use it
- To provide PriceHuddle and your account: necessary to perform our agreement with your company.
- To bill you and keep our books: required by law.
- To send service emails, such as “your analysis is ready”, “a price list is about to expire” or changes to our terms: part of the agreement, or our legitimate interest in keeping you informed.
- To keep PriceHuddle secure, prevent misuse and fix errors: our legitimate interest.
- To understand how visitors use this website with Google Analytics: your consent, which you can withdraw at any time.
We don’t sell personal data, don’t use it for advertising, and don’t make automated decisions about you.
4. Who we share it with
Only with companies that help us run PriceHuddle, and only what they need:
- our hosting provider, which runs the servers PriceHuddle and this website run on;
- Stripe, for payments and invoices;
- our email provider, to deliver account and notification emails;
- Google, for Google Tag Manager and, if you accepted analytics cookies, Google Analytics.
We have agreements with these companies that oblige them to protect your data. Where data leaves the European Economic Area, we make sure appropriate safeguards are in place, such as the European Commission’s standard contractual clauses. We only give data to authorities when the law requires it.
5. How long we keep it
- Account and usage data: as long as your company’s account exists, and deleted within 90 days after it is closed.
- Invoices and billing records: 7 years, as Dutch tax law requires.
- Support emails: up to 2 years after the last contact.
- Server logs: at most 14 days.
- Website analytics: 14 months in Google Analytics; the _ga cookies expire after at most 2 years, or when you decline or clear your cookies.
6. Security
All traffic to PriceHuddle is encrypted (HTTPS). Passwords are stored hashed, each company’s data is kept separate from every other company’s, and only the people who need it to run the service have access to our systems.
7. Your rights
You can ask us to see, correct or delete your personal data, to limit or object to how we use it, or to receive it in a machine-readable format. Email [email protected]; we answer within one month. If your data is part of your company’s account, we may involve your company’s account owner.
If you are not happy with how we handle your data, please tell us. You also have the right to complain to the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens.
8. Changes
We update this policy when the way we handle data changes. The date at the top shows the latest version; we email customers about important changes.
